Shipping Artwork

Please READ This … IT MAY BE LONG BUT I'M TRYING TO SAVE You FROM HAVING Your ARTWORK DAMAGED AND THUS NOT SELLABLE

When your artwork sells
you will need to ship it to our location, in almost all cases unframed (UNLESS The ARTWORK IS ON CANVAS or 3-DIMENSIONAL), as we need to verify the artworks' authenticity and condition.

If your artwork is presently framed please remove it from the frame.
HOWEVER -- DO NOT REMOVE THE PIECE FROM THE BACKING BOARD (if applicable).

PLEASE email me images of the piece OUTSIDE of any frame or UNDER any matboards.  This way if there is any noticeable issue we can discuss before you pay for shipping to me.  I don’t want to have to ship the piece back to you at your expense if the piece isn’t sellable.  Thank you

  • UNLESS THE PIECE IS ON CANVAS … DO NOT send the piece framed unless you absolutely feel more conformable
    • I don't need the frame and it's just extra expense to you in shipping.
    • If the piece is framed in GLASS DO NOT SHIP THE PIECE FRAMED.  The GLASS will likely break during shipping and DESTROY the artwork.
  • IF you are SHIPPING a FRAMED piece please follow the following procedures at http://www.herndonfineart.com/shipping_framed_artwork.htm

Please advise when the artwork is shipped and a tracking number if possible
.  The artwork needs to come to

    As to shipping
  • The BEST AND SAFEST way to ship artwork is FLAT (See https://www.herndonfineart.com/shipping_artwork_flat.htm below)
    • Without the molding between two sheets of cardboard then a sheet of 3/16" plywood or hardboard on top and bottom of the cardboard
    • This secures the artwork so that there is no way it will bend, thus eliminating cracking or creasing.  Lowes or Home Depot will cut the plywood or hardboard to the dimensions from the previous step, most often at no charge.
  • Artwork can also be shipped in a tube (See https://www.herndonfineart.com/shipping_artwork_rolled.htm below)

    • HOWEVER please make sure the tube is at LEAST 8" or more in diameter!!!!!!!!!!!!!.
    • If you choose to send the artwork in a tube smaller than at LEAST 8" or more in diameter there is a 90+% chance the artwork will arrive damaged and I will NOT be able to sell it.  A QUIK-TUBE™ building form tube (See http://www.quikrete.com/catalog/Quik-Tube.html for an example of the tube I often use) from Lowes or Home Depot works great.

See Professional picture framer or shipper if You have any doubt

As noted previously I WILL NOT sell artwork that isn't in a condition I would accept into my own collection.  We will ONLY sell or buy artwork which is in great condition with no scratches, dents, waves, tears, cracks, creases, etc.  Additional concerns for works on paper are paper loss (where the paper has been torn away caused by incorrect handling during framing); mat burn or browning/discoloration of the edges of paper (caused by use of acidic matboards); yellowing or fading of the artwork (caused by inappropriate use of glazing); browning/discoloration around the image (caused by inappropriate use of glazing); foxing (these are brown spotting which is often caused by mildew).   Additional concerns for works on canvas are holes in the canvas, tears caused during stretching.  Regarding shipping companies that will insure artwork for value: UPS and USPS are the only companies I'm aware of.  I almost always use UPS.

Regarding payment once the piece is sold - for over 30 years we've pretty much used the same procedure - checks are cut after the artwork is received and verified as being authenticate and in great condition.

Should a piece require restoration I will immediately email you photos for your consultation.  Should you agree to have the piece restored it is shipped to our curator in LA for an estimate of costs.  Once that number comes in I pass this information on to you for your approval.  Should you agree restoration will begin, not the piece is returned to me and I get a credit card number from you to return the artwork to you.  Once restoration is completed and the artwork returned to me I cut a check to the curator, run the credit card of the buyer and cut a check to you minus the costs which are itemized on your Bill Statement.

More detailed instructions BELOW if you want to do this yourself

REMOVAL OF ARTWORK FROM FRAME
Removal of the artwork ON PAPER from the frame is relatively easy OR a professional framing company can easily remove the artwork for you; we used to charge $25 for such a job, but that was a long time ago.
  • Flip the piece so that the artwork is face down with the TOP of the piece AWAY from you.
  • Use a razorblade to remove the backing paper (often brown and called Kraft Paper).
  • Set this paper aside as you'll use it later.  Once the Kraft Paper is removed you will likely see nails or staples holding the artwork in against the wood moulding.  Using a pair of plyers these are easily removed.
  • Now carefully remove the backing board and then the board holding the artwork.  IT IS EASIEST TO LIFT FROM THE TOP TOWARDS YOU so that the artwork HANGS against its hinges.

IF THE ARTWORK IS ATTACHED OR HINGED TO THE BACKING BOARD … DO NOT REMOVE UNLESS YOU KNOW EXACTLY THAT YOU ARE DOING.  REMOVAL OF THE ARTWORK WITHOUT KNOWLEDGE COULD LEAD TO DAMAGE OF THE ARTWORK AND POTENTIAL THAT THE ARTWORK WILL NO LONGER BE SELLABLE.  THE IMAGE BELOW IS FROM A SELLER WHO REMOVED THE ARTWORK FROM ITS BACKING BOARD INCORRECTLY ---

SHIPPING ARTWORK FLAT
  • Remove the matboards from the frame and place back on top the artwork.
  • Place the Kraft Paper on top covering the artwork.  If your piece is framed using Plexiglass this can be placed on top as an additional buffer from the face of the artwork.
  • If your artwork is framed using GLASS DO NOT SEND THE GLASS … it will likely break during shipping and DESTROY the artwork.  At this point MEASURE the outside dimensions … you'll need this for Home Depot of Lowes in the next step.

SHIPPING ARTWORK IN A TUBE

Once you have the tube will need to CUT the hinges holding the artwork to the backing board.

This next step is where most of the damage occurs.

The artwork must be rolled VERY CAREFULLY so it doesn't crease or crack inside a sheet of craft paper and scotch tape (do not just leave loose inside the tube please).

Additionally do not tape the piece to the inside of the tube, just leave it free floating inside the tubeA good rule of thumb is to leave 1/2" - 1" of space between the gently rolled piece and the inside of the tube.

I hope this is useful.  Let me know if you have any further questions and I look forward to the artwork.
